    Privacy Policy

    Terms of Service

    Article 1 (Scope of Application)

    This Privacy Policy applies when Research Institute for Auditory Corporation (hereinafter referred to as “the Company”) collects or attempts to collect personal information through the voice recognition system provided by the Company (hereinafter referred to as “the Service”) and related sites operated by the Company.

    Article 2 (Consent to Privacy Policy)

    Users must always review the most recent version of this Privacy Policy when using the Service and are required to agree to its contents before using the Service. Additionally, when viewing related sites, users must review and agree to this Privacy Policy before browsing the sites.

    Article 3 (Information Collected)

    1.Information collected includes user authentication information, information obtained through the user’s registration or modification of the Service, information obtained through user inquiries or communications, and information collected through campaigns and other activities. This includes identifiable personal information such as name, date of birth, gender, occupation, address, phone number, account information (email address and password, etc.), nickname, credit card information, personal information combined with interests, family structure, age, other personal attributes, company name, customer support inquiry information, evaluations, complaints, user feedback, and information obtained through the use of the Service or browsing related sites.

    2.Information related to the use of the Service, such as the content of the Service used, the date, time, and frequency of use, online behavior during use, and information related to browsing of the Service, including voice data, text data, cookie information, access logs, application and browser type and version, pages viewed, device information, OS information, location information, IP address, browser information, browser language, and user communication information.

    Article 4 (Management of Collected Information)

    Persons engaged in the management and use of collected information, including employees of the Company and third-party contractors, will strictly manage the collected information, preventing unauthorized access, loss, leakage, and alteration, while ensuring careful handling in accordance with their duties.

    Article 5 (Purpose of Use)

    The Company will use the collected information for the purposes notified to the user at the time of collection, as specified in this User Agreement, or for the following purposes:

    1.For Service-related use

    ・To provide the Service or functions (including login and identity verification)
    ・To communicate information related to the Service, confirm payments or charges, and provide various information
    ・To respond to inquiries and improve customer support quality
    ・To handle Service registration, identity verification, calculation of usage fees, and to provide, maintain, protect, and improve the Service
    ・To send rewards or prizes for surveys or contests in which the user has participated
    ・To inform users about events, seminars, and the Service itself
    ・To evaluate and analyze the market, customers, products, and services of the Company (including gathering opinions from users on the Company’s products and services, conducting customer surveys, etc.)
    ・To understand the use of the Service for the improvement of products and services and the development of new products and services
    ・To ensure security, prevent fraudulent use, and investigate or address violations of this Privacy Policy or User Agreement

    2.For advertising and marketing use

    ・To use for the marketing, advertising, distribution, and display of the Service, new services, and other services
    ・To monitor the delivery of advertisements, measure advertisement effectiveness, and display behavior-targeted advertisements
    ・To provide partial information to advertising distributors (no information that can identify specific individuals will be included)
    ・To create, use, disclose, and provide statistical data related to the Service in a non-identifiable manner (for improving services, making proposals, creating and utilizing marketing materials, etc.)

    Article 6 (Provision of Personal Information to Third Parties)

    The Company will not provide personal information to third parties without the prior consent of the user or a person authorized on behalf of the user, except in the following cases:

    1.When required by law
    2.When necessary to protect human life, body, or property, and it is difficult to obtain the user’s consent
    3.When required to provide information by a court, government agency, regulatory authority, or other public organization
    4.When necessary for dispute resolution with a third party or to protect the rights and interests of users or third parties
    5.In cases where the Company’s business, including personal information, is transferred due to a merger, company split, business transfer, or other reason
    6.When necessary to provide the minimum required information for user identification in cooperation with third-party services used by the user

    When users use third-party services, the information collected by the partner will be managed in accordance with the partner’s terms of use and privacy policy. Users can stop the collection and use of information by terminating or deleting the linked service. Additionally, third-party recipients may include foreign entities. In such cases, the Company will ensure that the personal information is adequately protected in compliance with Japan’s Personal Information Protection Act and relevant foreign laws through appropriate safeguards, including contractual measures.

    Article 7 (Joint Use of Personal Information)

    ・The Company will share collected information within the Company and its subsidiaries to the extent necessary to achieve the purpose of use. The information shared is the same as described in Article 3.
    ・The purpose of joint use is the same as described in “Purpose of Use of Personal Information” above. The Company will be responsible for managing jointly used information. Inquiries can be directed to the Company’s contact point.
    ・In addition to the above, the Company may jointly use personal information with business partners when necessary. In such cases, the Company will publicly disclose the purpose of use, the name of the business partner, the type of information, and the name of the managing entity before the joint use.

    Article 8 (Entrustment of Collected Information)

    • The Company may entrust the handling of collected information to third parties within the scope necessary to achieve the purpose of use. In such cases, the Company will thoroughly assess the eligibility of the contractor and stipulate confidentiality obligations in the contract to ensure that collected information is properly managed.
    • If personal information processing is outsourced to foreign entities, the Company will comply with Japan’s Personal Information Protection Act and relevant foreign laws to ensure that personal information is adequately protected through appropriate safeguards, including contractual measures. If the Company finds that the required personal information protection measures are insufficient, it will immediately cease the entrustment of personal information processing.

    Article 9 (Google Analytics)

    The Company uses Google Analytics provided by Google Inc. to investigate and analyze usage conditions of the Service. The Company uses information (such as visit frequency and visited pages) collected and analyzed by Google Analytics solely for the purpose of improving the quality of the Service and websites operated by the Company. No personally identifiable information is collected through Google Analytics.     Google Analytics uses cookies and other technologies to monitor user activity. If users do not wish for their data to be used by Google Analytics, they can use Google’s opt-out add-on:

    Article 10 (Cookies)

    • The Company and advertising distributors may send cookies to users’ browsers through the Service and utilize this technology.
    • Users can disable or reject cookies by changing their browser settings. However, disabling or rejecting cookies may cause some parts of the Service to not function properly.
    • If users allow cookies, advertising distributors may collect and use users’ browsing histories and other cookie information. The Company’s advertisements may be displayed on advertising distributors’ platforms based on this information.
    • Advertising distributors may use cookies, access data, the Company’s identifiers, and users’ attribute information to distribute ads tailored to users’ interests and preferences.
    • Cookie information collected by advertising distributors is handled in accordance with their privacy policies.
    • Users can opt out of the use of cookies and access data by accessing the advertising distributors’ opt-out pages. In this case, ads tailored to users’ interests and preferences may no longer be displayed, and the same ads may be repeatedly shown.

    Article 11 (Links)

    This Privacy Policy does not apply to websites operated by third parties that are linked to from the Service. The Company assumes no responsibility for the collection of user information by such third-party sites.

    Article 12 (Voice Data)

    Voice data used in the Service is sent to the Amivoice voice recognition engine operated by Advanced Media, Inc. and is not sent to the Company. For the privacy policy and terms of use of the voice data used in voice recognition, please refer to the policies of Advanced Media, Inc.:

    Article 13 (Correction of Personal Information by the Company)

    If there are changes to personal information, such as city names, postal codes, financial institution names, or credit card expiration dates that could hinder the processing

    Article 14 (Rights Related to Personal Information)

    Users and their related parties may request the disclosure, correction, addition, deletion, suspension of use, or suspension of provision to third parties of their personal information. Requests to the Company should be made via email or through the inquiry page on the Company’s website.

    1.Disclosure of Information

    Disclosure of information will be provided promptly only when required by law and when a user personally requests it. Users requesting disclosure of their retained personal data or records of third-party provision will be required to follow the Company’s designated procedures, submit documents verifying their identity, and pay a disclosure fee of ¥1,000 per request.     However, the Company may refuse requests in the following cases:

    ・When disclosure would significantly hinder the Company’s operations

    ・When disclosure would violate laws

    ・When it is not confirmed that the request is made by the user

    2.Requests for Correction, Addition, Deletion, Suspension of Use, and Suspension of Provision to Third Parties of Personal Information

    Requests for correction, addition, deletion, suspension of use, and suspension of provision to third parties of personal information will be promptly handled only when made by the user under the Personal Information Protection Act. Users must follow the Company’s designated procedures and submit the following information and other materials specified by the Company:

    ・Name, address, phone number, and email address

    ・Details of the personal information to be deleted and its background and basis

    Identity verification materials

    However, deletion requests may be refused in the following cases:

    ・When deletion could harm the life, body, property, or other rights and interests of the user or third parties

    ・When the request violates laws

    ・When the request would significantly hinder the Company’s operations

    ・When data retention is required by law for a certain period

    ・When it is not confirmed that the request is made by the user

    Article 15 (Security Measures)

    1.Storage of Personal Information

    The Company stores personal information of users in Japan. Additionally, the Company implements strict technical and organizational security measures to manage collected personal information.

    2.Retention Period of Personal Information

    The Company retains personal information as necessary to provide services in accordance with user requests, to fulfill the purposes outlined in this Privacy Policy, or to comply with applicable laws. The Company will maintain users’ personal information unless their accounts are deleted. When an account is deleted, personal information will be handled appropriately according to applicable laws and internal regulations after being retained for a certain period.

    3.Consent for International Data Transfer

    The Company will not transfer personal information outside of the user’s country of residence unless separate consent is obtained or it is permitted by applicable law. If the Company transfers data with the user’s consent, it will provide detailed information in this Privacy Policy.

    Article 16 (Inquiries)

    For opinions, questions, complaints, or inquiries regarding the handling of personal information by the Company, as well as any concerns regarding the Personal Information Protection Act, please contact the Company through the inquiry page on the Company’s website.

    Article 17 (Changes and Updates)

    The Company reserves the right to change or update this Privacy Policy as necessary. Users are deemed to have agreed to any changes to this Privacy Policy if they continue to use the Service after the Company has notified them of the changes or updates. If users do not agree to the changes, they must stop using the Service and terminate their user agreement.
